Scripts: How to Tell Clients You’re Switching Brokerages (Without Spooking Escrows)

TL;DR: When you switch brokerages, your conversations with clients must follow Arizona agency rules. These five scripts cover every scenario: no-contract clients, buyer-broker agreements, listings, active escrows, and agents who have all three. Clear messaging = smooth transition + zero spooked clients.

1) Clients With No Listings, No BBAs, and No Escrows

Cleanest transition. No agency issues. No paperwork. Just reassurance and clarity.

“Good news — I’m moving to a new brokerage that gives me stronger tools and better support,
so I can serve you at an even higher level.

Because we don’t have any active agreements or transactions together right now,
nothing changes on your side. Our relationship stays intact, and there is no disruption.

If you need anything during the transition, I’m here for you.” 

2) Clients With Buyer-Broker Agreements

The client may follow you — but the agreement must be canceled by the current broker first.

“I’m moving to a new brokerage that gives me stronger tools and support. I’d love to continue
representing you there if you’d like to come with me.

Because your Buyer-Broker Agreement is technically with my current brokerage, I’ll need to request
their approval to cancel it so I can re-establish a new agreement with you at my new brokerage.

If you’d like to move with me, I’ll take care of all the details. If you prefer to stay with the
current brokerage, that’s perfectly fine — they’ll assign another agent and my agency ends
immediately. My goal is always your best outcome.” 

3) Clients With Active Listings

Listings belong to the brokerage. Client may choose to follow the agent *if* approved.

“I’m moving to a new brokerage with stronger support and better tools — all of which will help me
market and protect your property more effectively.

Because listings belong to the brokerage in Arizona, I will need approval from my current broker
if you want your listing to transfer with me.

If you prefer to keep the listing with the current brokerage, my agency ends immediately — but
I will still check in to make sure the assigned agent has every detail needed for a smooth sale.
Your interests come first, with or without the transfer.” 

4) Clients Already in Escrow

Escrows almost always stay with the current brokerage. Your agency ends, but you may remain supportive (not acting as an agent).

“I’m transitioning to a new brokerage with better support and tools.

Because your sale is already in escrow, it will almost always stay with my current brokerage
through closing. That means my agency ends now and the brokerage will assign another agent as
the agent of record.

However — I am still here for you. I will stay in contact, make sure the assigned agent has
every detail, and ensure nothing slips through the cracks. I just cannot act as your agent or
offer licensed advice now that the file remains with the brokerage.

My commitment is the same: a smooth, successful close.” 

5) For Agents Who Have Listings, BBAs, and Escrows

The “everything bucket.” One message addressing all client categories safely and clearly.

“I’m moving to a new brokerage that gives me stronger tools, better support, and deeper oversight
— all of which benefit my clients. Because I’m working with clients in several different
situations, here is exactly how the transition works for each:

• For buyers with Buyer-Broker Agreements:
  Your agreement is with my current brokerage. If you want to continue with me, I’ll request
  approval to cancel it and re-establish it at my new brokerage. If you choose to stay, my agency
  ends immediately and a new agent will be assigned.

• For sellers with active listings:
  Listings belong to the brokerage. If you want your listing to follow me, I’ll request broker
  approval. If the brokerage keeps the listing, my agency ends now — but I will still check in
  to ensure the assigned agent has all the information needed to protect your sale.

• For escrows already underway:
  These almost always stay with the current brokerage. My agency ends today, and a new agent
  will be assigned. I will remain available as a support person to ensure a smooth transition,
  but I cannot act as your agent or provide licensed advice.

My commitment is unchanged: clarity, continuity, and complete professionalism. I will make this
transition smooth and protect your interests every step of the way.”
